What You Need to Check

A Spreadsheet called “Active Student List” is provided in the Reports Section of your school login. This spreadsheet contains your student’s information in the Data Capture Format (DCF)  order.

Before you CERTIFY the data, please check it carefully. Here are the main problems to look for:

  1. A) Vocational Course Problems

Problem: Wrong vocational sectors or job roles for students

How to FIX

  1. First, check which vocational courses are available for your school in grades 9-12 by looking at your School Profile in SDMS
  2. Open the spreadsheet and filter to show only Grades 9, 10, 11, and 12
  3. Look for any students with wrong or missing vocational information
  4. Open that student’s enrollment form in SDMIS
  5. Select the right sector and job role, then save
  1. B) Language Problems

Problem: Students are assigned languages that your school doesn’t offer

How to fix

  1. Check your School Profile to see which languages are available for each level (Pre-Primary, Primary, Upper Primary, Secondary, Higher Secondary)
  2. Filter the spreadsheet by education level and find students with incorrect languages
  3. Find that student’s record in the system
  4. Open their form and choose a language that your school offers
  5. Save your changes

Problem: A student’s medium of instruction doesn’t match what your school offers

How to fix:

  1. Check your School Profile to see which teaching mediums are available for different classes
  2. Compare this with what’s listed in the spreadsheet

  5. Select the correct medium of instruction
  6. Save your changes

Q: Can students in grades below 9th be enrolled in vocational courses?

A: As per the current guidelines, Vocational Courses only apply for Secondary (9-10) and Higher Secondary (11-12) classes.

Q: What if a student wants to change their vocational course mid-year?

A: Course changes should follow your school’s policy and timeline. Update the student’s enrollment form in SDMIS with the new course details and save the changes. Note that this may require approval from administrators.

Language Issues

Q: How many languages can a student select?

A: Students can select languages based on your school’s curriculum structure. Typically, this includes one first language and one or two additional languages, depending on the grade level.

Q: What if a student needs a language our school does not offer?

Q: Can different sections of the same class have different MOIs?

A: Yes, different sections can have different MOIs if your school is registered to offer multiple mediums of instruction. Ensure each student is assigned to the correct MOI section.

Q: What if a student transfers from a school with a different MOI?

A: The student must adapt to one of the MOIs offered by your school. Update their enrollment form with the appropriate MOI from your school’s approved list.

Technical Issues

Q: The system isn’t saving my changes. What should I do?

A: First, check your Internet Connection. Try refreshing the page and making the changes again. If problems persist, clear your browser cache or use a different browser. For ongoing issues, contact technical support.

Q: Can I make bulk updates to fix common errors?

A: The system currently requires individual updates for each student. Consider organizing a dedicated session with administrative staff to work through all the necessary changes methodically.

Q: What if I notice data discrepancies after certification?
